Traffic Escorts

Prior to submitting a Traffic Escort Warden Booking Application online through the Traffic Escort Services Scheduling Solution (TESSS) portal, you must first ensure you have signed and returned a completed Traffic Escort Services Head Agreement and AP Supplier Creation Form to Main Roads at permit.applications@mainroads.wa.gov.au.

Main Roads will provide the services subject to:

a) The Client paying the Traffic Escort Services fees for the services to Main Roads in accordance with the Traffic Escort Services Provision Policy; and

b) The Client providing evidence that they have been engaged to transport the load requiring Traffic Escort Services in the form of a letter or email from the Client’s customer, including the following information:

i. Name of Client’s customer, including contact person and contact number;

ii. Name of transport operator engaged by the customer;

iii. Equipment to be transported;

iv. Date(s) required;

v. Start and end location; and

c) Main Roads granting the necessary Permit(s) at least 4 business days prior to the time the services are to be provided; and

d) Main Roads being able to schedule the services for the dates requested.

• TESSS: Traffic Escort Services Scheduling System– the online traffic escort booking system.
• MyAccount: Your personal login account with Main Roads. You need a MyAccount to access TESSS.
• Home Page: your landing page of TESSS. Where you can navigate from to commence / view your bookings and access resources (e.g. guidelines & policies).
• Dashboard: Your main screen showing all your bookings.
• Head Agreement: A number that links your bookings to your company.
• Organisational admins – primary (main) account holders for the organisation who holds the Head Agreement.  Primary account holders can invite new users to their TESSS account and manage existing users via the ‘account page’.
• BA (Booking Application): A form you fill out to request a traffic escort.
• Draft BA: Not finished yet. Will be deleted after 5 days if not updated.
• Submitted BA:  Sent to HVS for review.
• Under Review BA:  HVS is checking your application.
• Info Needed BA: Something’s missing or wrong. You’ll need to provide the missing information.
• Accepted BA: Approved by HVS. Will become a Work Order.
• Declined BA:  Not approved. You’ll need to try again or contact the HVS Scheduling Team
• WO (Work Order): An approved booking.
• Provisional WO: Not paid yet. Waiting for payment.
• Confirmed WO: Paid and approved.
• Cancelled WO: Cancelled by you or TESS team.
• Completed WO: The move is completed, and paperwork is finished.

Where any of the following are amended or differ between the traffic escort booking or single trip permit, an amendment request must be submitted either to the traffic escort booking and / or single trip permit in line with the Traffic Escort Services Provision Policy.

• Date of the move;
• Start and end location of the route;
• Road(s) within route;
• Load description; and
• The mass and/or dimensions exceed the original load;

All requests to amend the traffic escort booking must be accompanied by evidence from the customer.

Single Trip Permit Application

For Main Roads to issue a single trip permit at least 4 business days prior to the time the services are to be provided, the single trip permit application must be submitted a minimum 7 business days prior to the time the services are to be provided. Applications submitted within 7 business days may not be processed within the required timeframe, which may result in the services being cancelled.
